The Nutrition Services Department will provide meals or refreshments at appropriate hospital functions with a minimum of 24 hours notice and authorized approval by Administration or management. Special menu functions will require at least one week's notice to allow product availability.
1. Catering orders submitted with less than 24 hours notice must receive prior approval of Nutrition Service management.
2. Catering orders will be accepted in the order of which they are received. If more than one catering event is required for delivery at the same time, the second catering event will be contacted by Nutrition Services management to discuss alternative delivery times. Nutrition Services management will need to approve multiple catering orders for delivery within a short time span to assure ability to accommodate the orders.
3. The person placing the order will act as liason with Nutrition Services and is responsible for room set-up. Items such as audiovisual equipment, etc., should be arranged in advance by contacting the AV Technician. Equipment is limited and will be provided if it is available.
4. Removal of Nutrition Services equipment and supplies from a catered event is not authorized.
5. Unless otherwise specified catering will be retreived approximately 1-1½ hours after delivery.
6. Arrangements for assistance from hospital volunteers should be made through the Volunteer Services Manager
7. Outside Groups
a. Catering requests for outside groups requires authorization by Nutrition Services management. Outside groups will be billed an additional 10% for food service unless otherwise noted.
b. Catering for outside events must be paid for at the conclusion of the event
c. Outside events bringing in food and utilizing Nutrition Services equipment and/or supplies will be charged a $25.00 fee. Equipment must be signed out and returned within 24 hours of removal from the Nutrition Services Department.
d. Outside events bringing in their own food must clean up the room and tables and remove trash.
8. Cancellations and Late Notices
a. If a function is canceled less than 24 hours before the event a full billing price for the event and a $10.00 service charge will be assigned.
b. No call or No show for a function will result in full price billing. In addition, $25.00 service charge will be assigned
c. A 20% late order fee will be added to any orders with less than 24 hours notice
9. Weekend Catering and Night Catering
a. There is an additional charge for labor for weekend catering and catering between the hours of 8:00 p.m. and 6:00 a.m.
b. Weekend catering and catering orders between the hours of 8:00 p.m. to 6:00 a.m. need prior approval of Nutrition Services management.
c. Night catering has to be picked up at Nutrition Services
10. Off Campus and Borrowing Equipment
a. Catering off campus has to be picked up and serving equipment needs to be checked out and returned.
b. If serving equipment is requested (no catering) it must be signed out and signed back in when returned.
1. Catering orders must be completed in full after reserving a meeting room.
2. Nutrition Services should be contacted via telephone for any catering order placed after 4:00 p.m. Monday through Friday for the following business day.
